If successful, you’ll be part of a dynamic and passionate team in Somalia and Nairobi that works together to improve the health, nutrition, water, sanitation, hygiene, and basic education of Somali girls and boys and protect them from violence, exploitation and abuse.

Purpose of the Post:

  • Under general guidance and supervision of the Travel/Transport Assistant, the person will be accountable for a variety of administrative duties in the Operations Section such as; hotel bookings, visa process, workshops / conferences, pouch services / registry, monitoring the log books of vehicles, stationery, maintenance services of premises / equipment, maintaining the operational files (transport, finance and administration), and performs other duties for the Operations Section, as required.
  • The successful candidate will be offered a Fixed Term Appointment for one year. Further extensions will be based on organizational needs, availability of funds and satisfactory performance.

Major duties and responsibilities:

  • Arrange both internal and external meetings and provide required administrative services;
  • Make hotel bookings, issue visas and assist in processing travel requests;
  • Maintain and update the files of administration, transport and finance;
  • Carry out tasks for photocopying and distribution of mail;
  • Responsible of pouch services and registry of incoming/outgoing office mail;
  • Assist in monitoring the log books of vehicles and maintain vehicles records;
  • Perform other duties for the Operations section, as required;

Qualifications, Experience and competencies

  • Completion of secondary school education preferably supplemented with diploma or training in Business Administration
  • Four years general clerical work, which should have provided a good knowledge of clerical practices and procedures.
  • Good knowledge of computer applications like word processing and spreadsheets
  • Fluency in English and Somali languages (written and oral) is required.
  • Ability to organize and prioritize work and communicate with tact.
  • Ability to work independently and accurately.
  • Demonstrated ability to work in a multi-cultural environment, and establish harmonious and effective working relationships both within and outside the organization.
