Special Projects Associate Job Vacancy

Our vehicles create a transport platform that empowers local entrepreneurs to run profitable transportation services to end-users in their communities.
We are seeking long-term commitment from an exceptional mid-career professional for the role of Special Projects Associate.

The role will support the Chief Executive Officer to organise and align strategic priorities with members of the senior team, manage internal and external CEO communications and messages, plan and prepare important meetings and own or identify placement of special projects, ensuring overall productivity of the CEO.

Duties include:
Project Planning

  • Develop, manage and communicate robust project plans across the organisation – ensure key stakeholders are identified and kept regularly updated on progress and escalate risks/issues accordingly.
  • Maintain a rigorous risk and issue log for tasks on each project – ensure key stakeholders are kept regularly informed.
  • Produce professional, simple and error-free documents to Mobius management and leadership.
  • Develop simple and robust project management dashboards for both team and cross-functional projects – present dashboard to Mobius leadership as appropriate.
  • Maintain historical log of deadlines to better understand actual man-hours dedicated to each task – analyse historical plans to effectively allocate proper resources and lead times to new projects.

Operations Management

  • Oversight of operations of the CEO including Board support functions, budgets, administrative support, policies and procedures. Diplomatic solutions to complex circumstances:
  • Handle high-touch and/or confidential matters with external and internal stakeholders.
  • Organise and establish plans from ad-hoc and inconsistent practices and establish disciplined processes to achieve specific objectives.
  • Produce intricate Excel, Word and PowerPoint deliverables on behalf of the CEO and leadership.
  • Analyse data, research information, solve problems and coordinate projects on a proactive and reactive basis.
  • Participate-in and facilitate team meetings/events and other activities that improve operations and morale.

Communications Management

  • Identification and management of priorities and critical issues that have public impact and require the attention of the CEO and/or the executive leadership team.
  • Develop and execute a consistent communication strategy from the CEO.
  • Work closely to manage community outreach and key stakeholder communication.
  • Prepare draft agenda and collect materials for meetings, speeches and conferences, take minutes and keep records of proceedings during such meetings.
  • Ensure draft of presentations, speeches, letters and other formal CEO communications.
  • Manage email follow up, correspondence and process facilitation.

Strategic Management

  • Collaboration within strategic and business planning processes as they relate to or intersect with the activities of the CEO and executive leadership team.
  • Support the strategic planning process, priorities and platform by ensuring connectivity with the CEO and executive leadership team agenda(s), priorities, action planning and messaging.
  • Own or identify areas for special projects related to the CEO needs.
  • Prepare CEO for speeches, press events, policy events and general meetings.
  • Attend all senior management and strategy meetings.
  • Communicate with CEO on key priorities, decisions and action items.


  • An ideal candidate should combine a unique blend of exceptional organisational, analytical, communication and interpersonal skills.
  • They should possess an energetic disposition along with the ability to prioritise multiple tasks and take initiative regularly.
  • They should be rigorous, pragmatic and on-the-ground solution focussed – not overly academic.


  • 3+years’ experience in an administrative role in a fast paced, demanding environment
  • Ability to work strategically and cooperatively in a team environment with all levels of professional, technical and administrative staff
  • Sound judgment, maturity, and sense of urgency with the ability to be decisive and thoughtful
  • Highly credible, collaborative, professional and resourceful style
  • Extremely trustworthy with the ability to handle confidential matters and sensitive information
  • Executive presence, demonstrating comfort speaking internally/externally on behalf of the CEO
  • Smart, strategic, diplomatic and proactive; working in a fast-paced, high-performance culture
