Administration Officer Job Vacancy

Job Purpose: 
To usher in all guests and visitors of the company, to receive and dispatch all correspondence in the company, to ensure proper management of the office, to ensure proper custody and safety of all office documents and equipments.

Duties/Key responsibilities:

  • Receiving and making all telephone calls and booking meetings.
  • Making sure the office is tidy, clean and well kept.
  • Making sure all office supplies and consumables are timely and adequately supplied.
  • Maintaining a register of staff clocking in and out of the company
  • Data entry
  • Uploading into the system all the accounts outsourced to the company into the system
  • Allocating/assigning into the system all accounts as per instructions
  • Receiving and dispatching all invoices, bills and other corresponse
  • Maintaining proper records of all employment contracts and testimonials
  • Instituting and maintaining proper leave management system and records
  • Proper management of filing, storage and security of documents
  • Responding to inquiries at the front office
  • Ensuring the company has all the licenses, permits to operate and they are timely renewed
  • Maintaining records of all relevant licenses and permits

Qualifications/Experience

  • Diploma or certificate
  • Working knowledge and experience in office management
