Assistant Procurement Officer Job in Kenya

Support or assist in the procurement of goods and services in accordance to set procurement policies and procedures.

Department: Procurement
Reports To: Procurement Officer
Direct Reports: Purchasing Assistant and Stores Assistant.

Indicators Of Good Performance On The Job

  • Goods or services purchased within set timelines.
  • Maintenance of procurement office integrity and secrecy.
  • Purchase of cost effective goods and services while maintaining quality.
  • Minimal shortages of stock items.

Job Responsibilities

  • Extract, analyze and input data from various sources in procurement systems
  • Respond to queries regarding procurement data and transactions
  • Initiate administrative actions related to procurement
  • Update and track processing of procurement actions
  • Prepare initial purchase orders and contracts
  • Maintain relevant internal databases, files and keep track of contractual agreements
  • Verify claims for accuracy and conformance with procurement rules and regulations
  • Following up receipts of goods delivered to the stores
  • Following up with suppliers on purchase of goods
  • Co-ordinate the evaluation of quotations
  • Assist in coordination of the bidding process and presentation of Bid/Proposal Evaluation Reports and Award Recommendations.


  • Diploma in Purchasing and Supplies.
  • Knowledge of Materials Control System.
  • General knowledge on procurement policies and procedures.
  • Minimum experience of 1-2 years in stores in Hotel setup.
